Job purpose

To ensure that administrative duties within the subsection are done effectively and that all the financial records are up to date

Grade 12

At least six months’ relevant experience in an administration environment

Computer literacy

Must undergo a criminal record check and such a person shall allow their fingerprints to be taken by the Tshwane Metro Police Department at own cost

Primary functions

Communication and coordination

Organising meetings and communicating with stakeholders

Preparing quotations and handling invoices for the services rendered

Handling orders and requisitions, and facilitating the delivery of stock items

Scheduling appointments, events and meetings and as well as taking minutes

Facilitating contractors’ machinery and equipment

Managing registers, vehicle logbooks and employee time sheets

Managing time sheets and leave applications

Recording assets and updating the list monthly

Organising the occupational health and safety file and maintaining it monthly

Preparing administrative and statistical reports by analysing data and identifying trends

Creating building maintenance job orders and submitting them to relevant service providers

Controlling the depot fleet register and updating it weekly

Ordering plant materials, irrigation supplies and other consumable stock items

Receiving customer complaints and issuing job orders to the line managers
